2. How to use this manual

This manual describes, in general terms, the categories of records Able Directory holds, and the process for requesting access to a record under PAIA. It does not itself grant access to any record. You must submit a request as described in Section 5 below.

3. Records held by Able Directory

Able Directory holds the following broad categories of records in the ordinary course of operating the Able Rugby platform:

CategoryExamples
Company and statutory recordsCIPC registration documents, tax records, statutory registers
User account recordsNames, email addresses, hashed passwords, role/school affiliation, login history
School and player recordsSchool profile information; player registries entered by school staff (name, initials, date of birth, playing position)

Most of these records are described in more detail, including the lawful basis for holding them, in our Privacy Policy, Sections 2–3.

4. Records available without a formal request

The following are freely available on our website and do not require a PAIA request:

A user may also access and correct their own account information directly through the Service, or by contacting our Information Officer. This does not require a formal PAIA request either (see our Privacy Policy, Section 10, "Your rights").

5. How to request access to a record

To request access to a record not otherwise available under Section 4, submit a request to our Information Officer:

We will acknowledge your request and respond within the timeframe required by PAIA. A prescribed request fee may apply for records requiring significant search or reproduction effort, in line with the fees prescribed under PAIA regulations; we will inform you of any applicable fee before proceeding.

6. Grounds on which a request may be refused

PAIA permits access to be refused in certain circumstances, including where disclosure would unreasonably disclose another person's personal information, would be protected by legal privilege, or falls within another ground for refusal set out in PAIA Chapter 4 of Part 2. Where we refuse a request, we will explain the ground for refusal and your right to internal review or appeal to the Information Regulator or a court.

Player Data in particular is entered and controlled by the relevant School, with Able Directory acting only as an Operator on the School's instruction (see our Privacy Policy, Section 6). A request concerning a specific learner's record may need to be directed to, or confirmed with, that learner's School.

7. The Information Regulator

If you are dissatisfied with our handling of a PAIA request, you may complain to, or apply for relief from, South Africa's Information Regulator:
